Executive Assistant, Foundation

ABOUT THE NBPA Foundation:  Established in 1997, The National Basketball Players Association Foundation is a non-profit organization dedicated to preserving the legacy of its members and providing support and assistance to persons, communities, and organizations throughout the world that seek to improve the lives of those in need.  Through grants that match players’ philanthropy and charitable giving, the Foundation highlights and accelerates the real and collaborative work that basketball players do worldwide to build their communities and create meaningful change.

DESCRIPTION: We are seeking an experienced and highly organized Executive Assistant to support the Executive Director of the NBPA Foundation.  This position will play a key role in ensuring the smooth functioning of our department and supporting our mission-driven initiatives.

LOCATION: New York City, New York

DEPARTMENT: Foundation

REPORTS TO: Executive Director

SALARY RANGE: $85k-$100K

RESPONSIBILITIES AND DUTIES:

  • Supporting the foundation's mission-driven initiatives, participating in strategic planning discussions, and contributing to the overall effectiveness and impact of the work
  • Manage a broad variety of administrative tasks for the Executive Director, including managing an extremely active calendar of appointments; completing Concur expense reports; composing and preparing correspondence; arranging complex and detailed travel plans and itineraries; and managing logistics for all meetings involving ED (e.g., video conference set-up, auditing attendees, catering, printouts of materials, etc.)
  • Proactively assist the Executive Director and department with balancing multiple priorities and competing demands on their time.
  • Remain attuned to office developments and escalate significant or urgent matters to the Executive Director as they arise
  • Manage sensitive information with the upmost discretion and confidentiality
  • Collect and organize receipts and invoices for business-related expenses
  • Schedule domestic and international travel and hotel accommodations
  • Draft or revise meeting agendas, correspondence, memoranda, and other documents.
  • Manage meeting and conference call logistics (e.g., create and send calendar invites, secure meeting locations and catering, open the conference call line, manage the dissemination of any meeting or conference call materials
  • Assist with the preparation of budgets
  • Maintain comprehensive and accurate records including filing system and contacts database
  • Proactively solve problems, research solutions, and handle complex issues
  • Perform other duties and special projects, as assigned

QUALIFICATIONS:

  • Bachelor’s Degree
  • 5+ years of experience supporting Senior/C-Level Executives
  • Proven ability to handle confidential information with discretion
  • Proficient in Microsoft Office Suite & Salesforce
  • Experience in managing multiple priorities, administrative coordination, and logistics
  • Excellent organizational, time-management, multi-tasking with great follow-up skills
  • Strong written and verbal communication skills
  • Previous experience working for a foundation and/or nonprofit preferred
